If your mailbox runs out of capacity, you have two options:
A) You can upgrade to the next plan to gain more capacity. To do this, follow the steps described in: How to upgrade my Email Address?
B) If you are already using the Professional Email plan or prefer not to upgrade, you can delete unneeded emails directly from the server. As the mailbox has no capacity left to move messages to the trash, you must delete emails permanently. Follow these steps:
- Log in to your webmail account.
- Use your email address as the username and the password you set when activating the mailbox.
- Click "Sign in."
- In the top-right corner, click on the menu icon and select "Settings."
- In the left panel, go to "Email" and enable the option "Permanently remove deleted email messages."
- Return to your mailbox folders and delete unneeded emails.
- After freeing up space, disable the "Permanently remove deleted email messages" option in the settings.
IMPORTANT: Deleting emails in this way is irreversible. Ensure you do not delete important emails. If you need to back up your mailbox content locally, the best method is to connect to your mailbox via IMAP and copy emails and folders from the IMAP mail folders to local folders in your mail client (e.g., Outlook, Thunderbird, Apple Mail).
The IMAP settings for configuring your local mail client are as follows:
- Incoming mail server (IMAP): imap.openxchange.eu
- Outgoing mail server (SMTP): smtp.openxchange.eu
We recommend using the following ports and encryption methods to connect to the mail servers:
- IMAP: 993 SSL
- SMTP: 587 TLS
